Job Duties – Clinic Manager:
- About the Role
Reporting to the directors, the Operational Manager ensures the effective and efficient operation, administration, marketing, and financial management of Ben’s Clinic. The Operational Manager is a key position in making sure an exceptional customer experience to our clients. This exciting role offers interesting work and good growth opportunities in a team based cooperative environment.
- Responsibilities include but not limited to the following:
- Lead staff team in providing excellent services and maximizing clinic profit
- Manage day-to-day operations of the clinic including opening and closing procedures, staff behavior and customer intake procedures
- Optimize appointment booking for multiple practitioners
- Coordinate the hiring, onboarding and training of new practitioners and employees
- Record and track financial transactions of the business
- Assist accountants in processing payrolls and preparing financial reports
- Efficiently manage inventory par levels and order processes
- Work with external IT consultants and ensure computer networks, clinic records and data management systems are secure and efficient
- Work with directors and external marketing team to promote our services and build the brand name
- Monitor and update social media content, including web page and other digital platforms
- Assist directors in the deliveries and launches of new projects, services, or branches
- Qualifications
- A minimum of 3-5 years of management experience in a massage house, acupuncture clinic, beauty salon, spa or related client service delivery setting
- A good understanding of traditional and modern clinical therapy
- Excellent English reading and speaking skills are required
- Basic bookkeeping and accounting knowledge is needed
- Proficiency with technology
- Facility with the professional use of social media is preferred
- Post-secondary education is preferrable
- Training and certificate in related field is a strong asset

The role offers an annual salary of between $40,000 and $50,000 , 35-38 hours per week.
Job Duties -Clinic Administration Clerk:
- Schedule and confirm medical appointments and receive and communicate messages for medical staff and patients
- Enter and format electronically based medical reports and correspondence and prepare spreadsheets and documents for review
- Interview patients in order to complete forms, documents and case histories
- Complete insurance and other claim forms
- Initiate and maintain confidential medical files and records
- Prepare draft agendas for meetings and take, transcribe and distribute minutes
- Establish and maintain various internal office administrative support procedures such as document tracking and filing and monthly reporting
